  DATA DRIVEN DESIGN

THE CHALLENGE

Zippo produces more than two dozen product catalogs annually, all of which are developed and maintained in-house by the Creative Services team. These catalogs are a critical sales and marketing resource, requiring the accurate placement of hundreds or even thousands of products across large-format publications.


When I joined Zippo, I quickly identified that the existing catalog production workflow was highly manual and no longer efficient for the volume of work being produced. Product information and imagery were being placed into InDesign one item at a time, page by page.

This process required approximately two weeks of production time for each catalog and increased the likelihood of human error during layout and data entry.

 

Recognizing the opportunity to improve both efficiency and accuracy, I began evaluating ways to modernize the catalog development process while working within existing software and budget constraints.

THE PROCESS

Drawing on my previous experience using X-Data alongside live SAP product information, I recognized that a data-driven publishing workflow could significantly improve the existing process. Throughout my career, I had worked on catalogs ranging from 96 pages to more than 800 pages, giving me extensive experience with large-scale product publication systems.
 

Because implementing a new software solution was not financially feasible, I researched alternative methods that could be accomplished using tools already available to the team. This led me to InDesign's Data Merge functionality, which provided many of the same advantages as the automated publishing solutions I had used previously.
 

Once I identified the Data Merge function as the potential solution, I developed a new workflow that incorporated it into the catalog production process - all while maintaining Zippo's established brand standards and design requirements.

This included:

  • Creating standardized Data Merge templates for catalog production

  • Establishing workflow documentation and best practices

  • Developing procedures for preparing and importing product data

  • Building quality control checkpoints to ensure data accuracy and design consistency
     

While the Data Merge was the main component of the solution, I also needed to leverage Excel to create a clean master list for our team to work from. Product information from multiple sources needed to be consolidated, cleaned, and formatted before it could be used successfully in Data Merge.

I developed master spreadsheet structures and processes that transformed raw product data into a publication-ready format, creating a reliable foundation for catalog generation.

 

Once the workflow was established, I worked closely with the rest of the Creative Services team to train designers on the new process, ensuring consistent adoption and long-term success.

 

​THE RESULT

The implementation of this new catalog production workflow fundamentally transformed how product catalogs were created within the organization.
 

By automating the placement of large volumes of product information and imagery, the team was able to reduce catalog production time by more than two weeks per catalog. In addition to the significant time savings, the process improved overall accuracy by minimizing manual entry and repetitive production tasks, resulting in fewer catalog errors and a more reliable final product.
 

The new workflow became a scalable solution that could be applied across multiple catalog types and continued to provide value year after year. It also created a foundation for future process improvements and ongoing optimization within the Creative Services department.

  • Researched and implemented InDesign Data Merge as a cost-effective alternative to specialized publishing software.

  • Developed new workflow standards, templates, and production protocols for catalog creation.

  • Designed and maintained Excel-based master data systems to support automated catalog generation.

  • Integrated the Data Merge process into the catalog development lifecycle.

  • Trained fellow designers on data preparation, master spreadsheet creation, and Data Merge implementation.

  • Provided ongoing troubleshooting and support for the workflow.

  • Conducted annual reviews of the process to identify new opportunities for optimization, improve efficiency, and expand the capabilities of the automated publishing system.
